Documenting processes with UPN and other notations

How to document a process in Universal Process Notation (activity boxes, lines with text, RACI resources, attachments, drill-downs), when a SIPOC or value stream map fits better, and how to build and validate maps live with the people who do the work to elicit requirements and agree a future state.

Official exam objective
Analyze and document a business process to elicit requirements and engage stakeholders to visualize a future state.

What the exam expects

  • Document a process in UPN: verb-labelled activity boxes, resources tagged with RACI, lines with text for every handoff, decisions as several labelled lines, attachments and drill-downs.
  • Choose the notation that fits the need: UPN, a detailed drill-down, a value stream map or a SIPOC.
  • Build the current-state map live with the people who perform and manage the work, validate it, then use it to expose gaps and elicit requirements.
  • Engage stakeholders to visualize and agree a future state by building the future-state map together.

Key terms:

  • UPN (Universal Process Notation): a simple, non-proprietary notation of activity boxes joined by lines with text.
  • Resource: the who in an activity box, tagged with RACI.
  • RACI: responsible, accountable, consulted, informed (RASCI adds supporting).
  • Attachment: a document, metadata or metric attached to an activity box.
  • Value stream map: a map of material and information flow that records measurements to find waste.

Key facts

UPN vs flowchart
Detail
Fewer symbols, less ambiguous, reads left to right
Lines
Detail
Lines with text connect every box and represent the handoff
Decision
Detail
Several lines out of one box, each with line text
UPN ownership
Detail
Not proprietary; no specialized software needed
Attachments
Detail
Implementation assets (requirements, stories, metadata, ERDs) and operational assets (SOPs, help, metrics)
Value stream map
Detail
Measures inputs and outputs; identifies waste
As-is first
Detail
Don't fix processes until they are fully mapped
Live workshop
Detail
More effective than questionnaires or individual interviews
